a. Booking Form – The initial booking form, which included the deposit amount, setting out date and period of hire of SWSC, number of attendees and hire
period of building
b. Final Invoice – Balance due in respect of actual attendees and period on site

a. SWSC reserve the right to accept or decline bookings entirely at our discretion.
b. The agreement will begin when the deposit payment and the Booking Form has been received by SWSC.
c. Your agreement with SWSC will be on the terms set out in these terms and conditions.
d. The Booking Form deposit invoice will include the dates of your booking, and the initial cost of your booking based on the information you have provided. SWSC will issue your booking confirmation by email.
e. The leader (Adult) in charge, as the person making the booking, will be responsible for all members of the party.
f. The leader (Adult) in charge of the party, must be at least 18 years old at the time of booking.
g. The booking form must contain the numbers for camping, even if these change closer to the time.
h. SWSC cannot reserve dates until the deposit payment and the building payment (if applicable) has been received.
a. You must pay SWSC the total amount for the building on receipt of the Booking Form. This will be non-returnable if you cancel unless another group
book the building on the same dates you paid for.
b. The booking deposit will be to the value of:-
i. Building – 100% of building hire
ii. Camping – £20.00 non-returnable deposit. See section 5 f for cancellation costs. If your total payment cost is less than £20.00, please contact the Campsite Manager to discuss.
c. The final payment is to be made within 14 days of your visit. An official invoice can be issued on request.
d. The payment for camping and day visits may be paid prior to your stay or immediately after your stay by Cheque, Bank Transfer or Card Payment.
a. SWSC periodically review and amend the prices charged. For the most up to date pricing information please check the section of our website relating to booking. (www.blythvalleyscouts.org.uk/selby-wood).
b. The price you will be charged will be on the Booking Form.
c. The price for the building (non-residential) is charged per day, however if you book for a full weekend (Fri – Sun) you will only be charged two full days.
a. The booking is an agreement for the use of SWSC and its facilities for a specific date or dates, and this means that you are to be charged for the reservation of this date or dates at the full cost.
b. We do, however, offer you the right to cancel your agreement subject to the
provisions of Section 5 f.
c. If you wish to cancel a confirmed booking you must let SWSC know by email or in writing as soon as possible and, in any event, prior to the first day of your booking.
d. The booking will be cancelled with effect from the day SWSC receive your
email or written notification, subject to payment of the Final Invoice taking
recognition of the cancellation charges as set out in Section 5 f below.
e. SWSC cancellation charges are calculated according to the time between
when we receive notification from you that you wish to cancel and the start
of your booking.
f. SWSC cancellation charges are set out in the table below:
a. If you want to change any detail of your confirmed booking you must let
SWSC know by email or in writing as soon as possible.
b. Whilst SWSC will do our best to accommodate your request to change, SWSC
cannot guarantee that any request for changes will be accommodated.
a. If for any reason we cancel your booking, a full refund will be given.
b. In the event that SWSC cancel / change a booking SWSC will not accept any
costs associated with the booking organisation.
a. The SWSC campsite usage rules are available on our website (www.blythvalleyscouts.org.uk/selby-wood).
b. The SWSC rules are also displayed at the site and should be read / reinforced on arrival.
c. The SWSC rules contain important information about your stay. These rules include departure check lists.
d. Smoking is not permitted at SWSC.
a. If you discover that anything is missing or damaged on arrival at the site you
must notify the Campsite Manager. If you do not notify the Campsite
Manager, it may be assumed that your group caused the relevant damage or
loss.
b. You will be responsible for the cost of any damage to the site or its facilities
caused by you or by any members of your group.
a. It is up to individual groups to ensure that they have adequate insurance for
their visit.
b. SWSC and its trustees do not accept any liability for any injury or damage
incurred during your stay.
c. It is up to individual groups to carry out their own risk assessments if
required.
